Activities
Acquisitions:
Regional Repository, Ambala Division has in its custody the records of the office
of the Deputy Commissioner, Ambala.
Arrangements of Records:
The records received in the Repository have been arranged and kept in accordance
with the Principle of Provenance. The records are kept in the form of bundles. The
files of these records are kept in bundles between the two pieces of ply boards
and tied up tightly by the rope. The whole records have been kept on steel racks.
Reference Media:
In order to facilitate
the Research Scholars, retrieval of records has been made easy through the reference
media. Subject Lists of all the records available in the Repository have been prepared.
Preservation:
The Repository not only endeavour’s to keep the records and books
safe from the enemies of records viz. dust, heat, light, humidity and insects etc.
but also to conserve them for posterity on scientific lines.
Daily and periodical dusting of records is carried out manually and by Vacuum
Cleaner. To keep the records safe from fungus growth, thymol fumigation is done
in the Department.
The old and fragile documents available in the Repository are
treated scientifically in accordance with latest techniques.
Every care is taken that the edges and corners of papers are preserved and
damage caused to the original records is minimized. As a measure of first aid minor
repair is undertaken in the first instance. Papers with unwashable ink are de-acidified.
Fragile documents are repaired by the hand lamination process with cellulose acetate
foil, tissue paper and acetone. In addition to this some documents are also repaired
with tissue paper and Carboxymethyl Cellulose Sodium Salt paste. The documents written
only on one side are treated with full pasting on the back side of the document.
The worm eaten documents are repaired by inlaying them in suitable mounts. Subsequently
the records and books are subjected to stitching and binding. The remarkable part
of preservation is that needle does not touch the original document. The document
is thus finally preserved for posterity.
Public Public Relations:
In order to arouse archival consciousness
in public in general and students in particular and acquaint them with the cultural,
historical and research value of records, the Repository has been organizing exhibitions
at various places in Ambala Division on various occasions.
Record Management:
In order to streamline the system of Record Management in various offices of Ambala
Division, the Repository is performing its activities in the field of appraisal
of non-current records, inspection of record rooms and tendering of advice on various
aspects of Record Management. The Archives Department has prepared and published
Records Retention Schedule common to all Departments regarding retention period
of various categories of files.
The Archives Department has also framed
the Archival Policy Resolution to control and guide the creation, maintenance and
disposition of the records of the Departments. It also defines and regulates the
responsibilities of Departments and Offices of the State Government for custody,
care and management of records in their possession and for selection and preservation
of public records of permanent value to the Archives Department.
The task of weeding
of the records available in offices of
Ambala Division is being taken by the Repository with a view to eliminate the useless
records and providing better conditions of storage and preservation for the records of permanent value .
Research Facilities:
The Research Scholars wishing to consult the records are required to apply to the
Director, Archives Department in the prescribed proforma. Which is given as under.
The Research Scholars are provided
with the research facilities on all working days.

* Scholars are requested to attach a letter of recommendation
from their University/ Institution/ Department. However, the foreign scholars are
requested to bring a letter of accreditation from the diplomatic representatives
of their country in
India as well.
Exhibitions:
Archival Exhibitions are held in Schools, Colleges and Universities to
inculcate the archival consciousness among general public and students.
